Choosing the features

What should landlord software do?

Start with the records you need to retrieve: rent received against rent due, tenant details and the document for the right property. Then check reminders. A place to upload a certificate does not establish which expiry dates the software tracks.

Ask the seller to demonstrate the document task before moving your records. PaTMa's recorded wording names EPC reminders; Landlord Vision's wording refers to safety certificate tracking without the same detail.

Plans covering one property

PaTMa and Rentila each state a plan limit of 1 property. Check the plan's document limits and the functions you need before opening an account.

Property and tenancy limits

Rentila states a limit of 2 to 5 properties for Silver and no property limit for Gold. PaTMa's Pro plan covers 5 properties, with additional properties available.

Compare Landlord Vision using its stated tenancy limits: Starter covers 4 tenancies, Standard 10, Premium 15 and Enterprise 25.

MTD

Ask which plan includes the tax functions you need. An unchecked MTD cell is not a statement that the product lacks MTD support. This comparison does not determine your tax obligations.

Documents for registration

PRS Database records

The draft PRS Database Regulations 2026, Schedule 3 Part 2, asks for copies of the gas safety record where applicable, an EICR or appropriate EIC, and the EPC where required. Keep the document dates with the copies. Under draft regulations 8 and 9(4), outdated information or documents must be updated within 28 days. Draft regulation 4(5) allows an appointed agent or property manager to provide Part 2 information on the landlord's behalf.

Software storage is separate from registration. The government's Housing Hub says the landlord must start registration even when an agent helps. General information, not legal or tax advice. Laws and dates change. Check the government's registration guidance before you act. Checked on 19 Oct 2026.
